Customer Story Varejo Mais

How one of Brazil’s largest Samsung retailers runs its business on Tape

Varejo Mais operates a multi-state business from a single headquarters. In 2023, the team moved years of data and critical workflows from Podio to Tape in two weeks. Today, Tape is the central system for daily work.

A Podio pricing change triggered a strategic review

A Podio pricing change triggered a strategic review

The company has been in electronics retail since 2002 and has focused on Samsung stores since 2013. Two years later, leadership made a major investment in technology and consulting to build a operating model that is efficient, integrated, and scalable. Shared processes, shared data, one system, all used the same way in every location. This approach enabled headquarters in Natal to coordinate work across eight states, 23 stores, and 11 kiosks.

For years, Podio powered that model. Bruno Freitas and his team at dat4force, a digital transformation partner, built the processes, automations, and calculation logic that made the system core to internal work. Its flexibility aligned 230+ employees across all locations and supported the company’s vision of “Empresa Humana,” a place where people can learn, develop, and grow as professionals and as human beings.

When Podio’s pricing changed in 2023, the team reviewed their setup and asked a straightforward question. What foundation should support the next phase?

What they found made them stay

What they found made them stay

The dat4force team evaluated options across their client base, looking for proven logic, operational scale, and reliability under real load. After trying Tape, the operational logic felt familiar. Teams keep working with apps, relations, and comments, and gain the capabilities they’ve been looking for.

For daily users, that means table search, favorites for quick access to records, and activity features like emoji reactions and threads. For builders, the highlights include:

  • Script actions for custom JavaScript in built-in automations
  • Live monitoring that shows which automations are active, failed, or paused, with detailed debugging logs
  • Full traceability with audit logs for field changes linked to specific automation executions
  • Modern calculation fields with JavaScript syntax and full HTML output for formatting
  • Precise access control with granular app, record, and guest permissions

A call with the Tape team gave the full picture. Tape is bootstrapped, so decisions aren’t driven by investors. The roadmap is public, and the community helps shape what gets built next. The commercial setup helped too. Grandfathering keeps plan terms stable as Tape evolves, and a migration deal removed overlap cost during the transition.

The dat4force team became an official Tape Partner with deep knowledge of both platforms.

"What convinced us was that the Tape team are long-time Podio power users. They respect what makes Podio special, so Tape was easy to adopt and build on."

Two weeks. 34 locations. Zero data lost.

Retail doesn’t pause. Stores stay open while systems change.

The migration, led by Bruno Freitas at dat4force, moved years of operational data and critical processes in a few clear steps:

  • Rebuild the structure. Set up workspaces, apps, and relation fields in Tape. App creation via import was a shortcut; it created the app and its fields as part of the import.
  • Move the data. Export from Podio and import into Tape with field mapping, including relations.
  • Migrate calculation fields. Copy the code from Podio and paste it into Tape.
  • Create automations. The migration also created a cleanup opportunity. Years of logic had accumulated, and it became easier to simplify.

There was no downtime. Varejo Mais stayed focused on the day-to-day work while dat4force handled the technical side. For store teams, the switch happened overnight. Teams were back to work the next day. Tape fit the way they already worked, so teams kept moving.

“We couldn’t pause operations for a migration. The dat4force team moved everything into Tape while our stores kept running. Tape felt familiar from day one, so rollout stayed smooth across all locations.”

Built for the next phase

The business runs every day, so reliability is the baseline. What matters is what teams can build on top.

Using Tape as a work operating system, dat4force integrated Oracle, Varejo Mais’s ERP, and connected LINX, a Brazilian retail system, to automate the full lifecycle of Samsung merchandise. The workflow connects logistics, controllership, finance, operations, security, accounting, and tax departments. In a single month, it processed more than 12,000 invoices. Tape supports the workflow from start to finish, adds visibility through dashboards, increases efficiency, and reduces costs related to staffing, taxes, and duties.

Beyond the invoicing workflow, Tape became the single source of truth for knowledge and work across the company, with over 1 million records, 700+ apps, and over 1 million automation actions per month.

After two years, Varejo Mais switched to annual billing for a discount, showing long-term commitment and trust in its partnership with Tape.

“Tape has powered our growth with more confidence, better scale, and seamless integration. With Bruno and Dat4force, we built this model in Podio and then migrated to Tape to take it to the next level. This helps us scale without losing operational quality.”
